🚀 Getting Started

Create Your Account

Register at https://hallhub.co.uk/register.php. You get a 14-day free trial with full Pro features — no credit card needed.

Add Your First Hall

Go to My Halls → Add Hall in your dashboard. Fill in the name, address, capacity, and pricing. Upload photos to make it stand out. Set your opening hours and any blocked dates.

Configure Deposits & Payments (Pro/Business)

In the hall settings, enable deposit collection and set the deposit amount (fixed or percentage). Connect Stripe in Settings → Payments to accept card payments online.

Publish Your Hall

Once you're happy with your listing, toggle it to Published. It will appear in search results and customers can request bookings directly.

Manage Bookings

New booking requests appear in your dashboard with a notification badge. Review and approve or decline them from Bookings. Record payments, generate contracts, and mark events as completed.

📖 Feature Guides

📅 Bookings

New bookings land in Pending status. Approve to confirm, or decline with a reason. Once approved, record deposits and balance payments as they come in. Mark as Completed after the event.

🏛️ Managing Halls

Each hall has its own availability calendar. Block out dates for maintenance or private use. Set different prices for weekdays vs weekends using custom pricing rules (Pro+).

💳 Taking Payments

Requires Pro or Business plan. Connect Stripe in Settings. You can take deposits when approving bookings and balance payments later. All payments are logged against the booking.

📄 PDF Contracts

Requires Pro or Business plan. Go to a booking and click Download Contract. Customise the contract template in Settings → Contract Templates with your own terms.

📧 Email Templates

Requires Pro or Business plan. Customise every automated email in Settings → Email Templates. Use tokens like {customer_name} and {booking_reference} for dynamic content.

📑 Tax Reports

Requires Business plan. Go to Finance → Tax Reports, select a date range, and download a PDF breakdown of gross revenue, VAT collected, and net income by month.

👔 Team Members

Requires Pro or Business plan. Invite staff via Settings → Team Members. Choose their role: Manager (full access), Staff (bookings only), or Viewer (read only).

📊 Analytics

Requires Pro or Business plan. Your dashboard shows revenue charts for the last 6 months, booking trends, and top-performing halls. Export booking data as CSV from the Bookings page.

❓ Frequently Asked Questions

How do I change my domain or move to a new server?
Open includes/config.php and update just two lines: APP_URL (your full domain) and BASE_PATH (the subfolder path, or empty string if in root). Every link on the site is generated from these two values automatically.
Can customers book online without me approving?
By default all bookings require your approval. You can change this per-hall in the hall settings — enable "Auto-approve bookings" to confirm them instantly.
How do I connect Stripe for card payments?
Sign up at stripe.com, go to Developers → API Keys, copy your publishable and secret keys, and paste them into includes/config.php. Then set up a webhook pointing to https://hallhub.co.uk/api/stripe-webhook.php.
What happens when my trial ends?
You automatically drop to the Free plan (1 hall, 10 bookings/month). Your data is never deleted. Upgrade any time from the dashboard to restore access.
Can I use my own logo on contracts?
Yes. Go to Settings → Account Settings and upload your logo. It will appear on all PDF contracts and receipts automatically.
How do I block out dates when the hall is unavailable?
Go to My Halls, click Availability on the hall, and use the "Block a Date" form. You can block full days or specific time slots, and add a reason.
Can I set different prices for weekends?
Yes, with Pro or Business plan. In the hall edit page, scroll to Custom Pricing Rules and add a rule for Saturday/Sunday with your weekend rate.
How do I export my bookings?
On the Bookings page, click the Export CSV button at the top right. This downloads all bookings matching your current filters.
Can multiple staff members use the system?
Yes, with Pro (up to 3 members) or Business (up to 10). Invite them from Settings → Team Members. Each gets their own login with role-based access.
Is customer data kept private?
Yes. Customer data is stored only in your own database on your own server. We do not have access to your booking data or customer details.
